DIRECTOR/MEDICAL EDUCATION OFFICE

Position Summary:
This position oversees the office of medical education within the College of Medicine under the direct supervision of the Senior Associate Dean for Academic Affairs. This position is responsible for the administration/oversight of the curriculum management system and curricular support activities. This highly collaborative position will work as part of a team of staff, faculty, and administrators in developing, leading, and maintaining the medical education program at the CMU College of Medicine. Delivers a high level of competency and resourcefulness in working on complex projects, issues and provides highly innovative solutions that achieve desired curricular outcomes while establishing work processes and procedures. Responsible for reporting, internal procedures, and processes for the learning management system across all four years. This position supervises the curriculum coordinators and longitudinal curriculum coordinator.

Required Qualifications:
Masters degree in educational psychology, instructional design, adult learning, or an equivalent combination of education and related experience.
Five years of progressively responsible experience.
Three years of supervisory experience, including developing and delivering cross-functional training.
Excellent written and verbal communication skills for both technical and non-technical audiences.
Proficient in the use of Excel to create and manage a variety of academic and curricular databases.
Strong organizational skills and the ability to set priorities, manages multiple tasks, and completes assignments with minimal supervision.
Demonstrated ability to accomplish administrative assignments and projects independently, to work well as part of a team, and to exercise judgment in setting priorities.
Demonstrated positive interpersonal, verbal, and written communication skills.
Demonstrated ability to manages multiple tasks and adapts to changing priorities.
Self-starter able to work effectively and diplomatically with faculty, staff, and students under a variety of high-pressure circumstances.
Ability to project a positive professional image.

Preferred Qualifications:
PhD or EdD preferred.
~Capable of learning and teaching a variety of software platforms and programs for the delivery and evaluation of the curriculum and the assessment of students.
Experience drafting and implementing policy and internal operating procedures. Familiarity with project management processes.
Experience in a medical school setting. Knowledge of LCME accreditation.
The successful applicant should possess a broad knowledge of best practices in medical education and the training of professional students.
Experience with teaching healthcare education and strong supervisory skills are desired.
Ability to assess situations quickly and gather needed information.
Ability to prioritize multiple job demands, problem solve, and troubleshoot with minimal direct supervision.

Duties & Responsibilities:
Supervises the implementation of appropriate assessment and evaluation, and student progress policies as directed by the Senior Associate Dean of Academic Affairs.
Creates standard operating procedures based on internal policies to implement across campuses. Assists in the development and/or implementation of appropriate policies and procedures for ensuring the accuracy, security, confidentiality, and documentation of student performance data across campuses.
Supervises staff in the office including the Curriculum Coordinator(s). Works collaboratively with student clerkship coordinators on all campuses.
Prioritizes work assignments; ensures appropriate training and cross-training to ensure that the curricular management, assessment, and evaluation duties are completed timely, accurately, adheres to the approved policies and procedures, and ensures a fair distribution of work.
Maintains databases for overall outcomes of the courses/clerkships/and programs for the College of Medicine and the effectiveness measures for the curriculum as a whole.
Develops a variety of academic data templates and reports for the Office of Medical Education.
Creates and maintains a timely accurate, secure, and confidential master medical student academic records database for all students/all campuses: program files, assessments, evaluations, academic delays/progress; remediation activities/results and institutional actions for the Office of Medical Education.
Provides academic progress reports to the leadership and necessary committees.
Creates specialized reports as requested for accreditation and curriculum evaluation. Responds to requests for record compilation, reviews and retrievals from approved administrative units, faculty, and students.
Oversight of the design and coordination of the academic curricular calendars.
Assists in coordinating the training, supervision, and support of all other proctors, college wide.
Provides high level support and coordination to College curriculum governance including, but not limited to the Curriculum Committee, Year 1-2 and Year 3-4 Committees.
Tracks all components of student academic progress in their coursework, institutional assessments, and the USMLE examinations, and provides needed information to the Student Performance and Conduct Committee.
Maintains current academic records of each enrolled student, including documents pertaining to student promotion, disciplinary action leaves of absence, withdrawals, and other changes in student status.
Maintains a complete understanding of all aspects of the Medical Curriculum, Medical School Bylaws, Faculty Handbook, and related information.
Responsible for Praise/Concern card collection, dissemination, and tracking.
Supports the annual review of course and clerkships, including mapping, tracking of performance metrics, comparability across sites, and follow-up of action items.
Supports LCME accreditation as directed by the Senior Associate Dean for Academic Affairs.
Assists in the oversight of and troubleshooting of issues related to the program evaluation software including uploading and distributing evaluations in coordination with the Director of Assessment and Evaluation.
Demonstrated commitment to diversity by working to develop a culture of inclusion and mutual respect.
Serves as the key integrator within OME: operationalizes initiatives, clarifies assignments, anticipates barriers and opportunities, coordinates across teams, ensures alignment with medical school priorities, and policies, and proactively seeks better ways to accomplish processes.
