Job Description
The Administrative Associate supports University Health Services by providing general administrative assistance to the staff and is the first and last person most patients interact with at UHS.


Responsibilities
Operational Duties (Customer Focused)
  • Answers phones and greets all visitors
  • Directs patients on check in process and insurance uploading
  • Coordinates daily appointments- schedules new ones and manages existing ones
  • Performs timely management of students records in/out of the clinic including scanning
  • Provides immunization compliance/record support
  • Performs receptionist duties (front desk organization, management, maintaining clinic documents, etc.)
  • Maintains health records (insurance, demographics, etc.) and student database management (registration/holds management)


Operational Duties (Financial)
  • Performs financial and clerical duties including check-in/out charges
  • Manages daily deposits and processes invoices, transactions, and account reconciliations as needed
  • Under the direction and guidance of the Director and campus business units, supports collection and balance reconciliation efforts for patient charges for past date of service balances


Operational Duties (Organizational)
  • Organizes tasks and information, maintains staffing calendar, brings potential calendar conflicts to the attention of the Director, and assists in scheduling meetings for UHS staff (both internal and external meetings)


External Responsibilities
  • Coordinates/schedules outreach for campus marketing and health education initiatives
  • Assists with orientations and other events


The ideal candidate will possess the following:

  • Skills to manage electronic health record and practice management system, financial transactions, banner, Microsoft applications, and other applications necessary to perform job functions
  • Basic financial skills
  • Possess excellent organizational skills
  • Skills to multi-task, be detail-oriented, and easily prioritize duties each day
  • Working knowledge of student health processes for immunization compliance
  • Ability to organize and problem solve administrative tasks and office responsibilities
  • Ability to communicate with staff and practitioners and to appropriately direct client calls
  • Customer service skills to manage students, staff and faculty in a professional, sensitive, and confidential manner
  • Ability to handle conflict in a professional manner
  • Ability to adapt in high pressure situations and still maintain courtesy and professionalism
  • Skills to manage client payments and deposits daily as well as assisting with some basic accounting duties for the clinic such as processing invoices or transfer vouchers
  • Additional comfort with computer skills and knowledge of Medicat electronic health records

Qualifications
Minimum: Requires a high school diploma and two years of relevant experience, or an equivalent combination of education, training, and experience.

Preferred: Experience in a healthcare field or similar position is preferred.
